Total Control Software Privacy Policy

This Privacy Policy describes how Total Control Software ("TCS," "we," "us," or "our") collects, uses, stores, protects, and discloses information when you use our software applications, website, and related services (collectively, the "Services"). This Policy specifically includes TCSEmail, the email integration used with Total Control Software applications.
· Account Information: Name, email address, username, password or authentication information, and business contact details.
· Billing Information: Billing address and transaction information. Payment card information may be processed by third-party payment processors and is not necessarily stored by TCS.
· Support and Communications: Feedback, support requests, and communications you send to us.
· Usage Data: Feature interactions, log information, error reports, and diagnostic information.
· Device and Network Information: IP address, browser type, operating system, device identifiers, and network information when applicable.
· Cookies and Similar Technologies: Information used for session management, preferences, security, and website functionality when applicable.
TCSEmail allows an authorized TCS user to connect a Google account so that the user can send email from Total Control Software through that Google account. TCSEmail requests access only to Google user data and permissions necessary to provide this user-requested email functionality.
· Access: TCSEmail may receive Google account identification and authorization information and the Google API permissions authorized by the user for sending email.
· Use: Google user data is used only to authenticate the user, maintain the authorized connection, and send email that the user initiates through Total Control Software.
· Storage: TCS may securely store OAuth authorization tokens or related authentication information needed to maintain the authorized connection. TCS does not use Google user data to create advertising profiles or unrelated databases.
· Sharing: TCS does not sell Google user data. Google user data is not transferred or disclosed to third parties except as necessary to provide or secure the requested functionality, with the user’s consent, or as required by law.
· AI/ML: TCS does not use Google Workspace API data to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models.
Limited Use Disclosure. TCSEmail’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
· Provide, operate, maintain, secure, and improve the Services.
· Authenticate users and maintain authorized account connections.
· Provide TCSEmail functionality, including sending email initiated by an authorized user.
· Process transactions and administer customer accounts.
· Send operational notices, product updates, and administrative communications.
· Respond to customer service and technical support requests.
· Detect fraud, abuse, or security incidents and comply with legal obligations.
We do not sell personal data or Google user data. We may disclose information only in limited circumstances:
· Service Providers: Vendors that perform services on our behalf, such as hosting, payment processing, or technical infrastructure, subject to appropriate confidentiality and security obligations.
· Legal Compliance and Security: When reasonably necessary to comply with applicable law, legal process, or to protect the rights, safety, and security of TCS, our customers, or others.
· Business Transfers: In connection with a merger, acquisition, financing, reorganization, or sale of company assets, subject to applicable legal requirements.
· With Your Consent: When you expressly authorize the disclosure.
· Security: We use reasonable technical and organizational safeguards designed to protect personal information and Google user data from unauthorized access, loss, misuse, alteration, or disclosure. Where appropriate, this includes encryption in transit and access controls.
· Retention: We retain personal information only as long as reasonably necessary for the purposes described in this Policy, to provide the Services, maintain security, resolve disputes, or satisfy legal obligations.
· Google Authorization Data: OAuth tokens and related authorization information are retained only as needed to maintain the user-authorized Google connection or as otherwise required for security or legal purposes.
· Deletion and Revocation: Users may revoke TCSEmail access to their Google account through their Google Account permissions. Users may also contact TCS to request deletion of personal information or stored authorization information, subject to legal and legitimate business retention requirements.
Depending on applicable law, you may have rights to request access to, correction of, or deletion of personal information we maintain about you. You may also unsubscribe from promotional communications where applicable. Revoking Google authorization will prevent TCSEmail from continuing to use that authorization to access Google APIs.
We may update this Privacy Policy as our Services, legal requirements, or data practices change. The current version will identify its Last Updated date. Material changes affecting Google user data will be reflected in this Policy and applicable product notices.
